INNOCUM Business Center is located in Harjamäki, Siilinjärvi, with excellent transport connections and just a short drive from Kuopio. More than 60 companies and organizations from different fields operate in this green and historic area. INNOCUM offers flexible business premises and meeting services for both on-site operators and external customers. Free parking is part of a smooth visitor experience and one of the first things guests encounter when arriving in the area.
The goal was to make guest parking smoother and reduce the management of paper permits
For a long time, parking at INNOCUM relied on paper parking permits and parking discs. For short visits, a parking disc worked well enough, but for longer stays the practice started to burden both visitors and staff.
A meeting guest either had to print a parking permit in advance or pick it up from the meeting room immediately after arrival and then take it back to the car before the meeting began. Guests staying for the whole day, such as auditors or consultants, also had to remember to move their parking disc every two hours.
What sounds like a small issue had a clear impact on the guest’s first impression. When parking required separate instructions, paper permits and extra movement, it took attention away from the actual purpose of the visit.
INNOCUM wanted to modernize guest parking management with a lightweight digital solution. The goal was to make parking smoother by registering license plate numbers electronically and reducing the manual work related to paper permits.
We developed a lightweight browser-based parking application
The project began with an initial meeting where INNOCUM’s needs and current parking practices were reviewed. Thanks to a clear scope, the solution got moving quickly, and the application was already in use within two weeks of the project launch. The fast implementation was supported by an AI-assisted development approach, where AI was used to support both planning and implementation.
The solution was a browser-based parking application designed to serve both meeting guests and INNOCUM staff. Guests can register their parking themselves on a tablet in the meeting lobby as soon as they arrive, or complete the parking permit in advance through a link sent with the booking confirmation. Staff have their own admin view, where they can review parking entries and add them on behalf of guests when needed.
The application was designed for everyday use. It needed to be easy to understand, quick to use and light enough to maintain. A practical scope helped keep the implementation clear and enabled rapid progress from the first discussion to deployment.
The project began by reviewing the existing parking process. Together with INNOCUM, we identified the situations where the old model caused the most friction: meeting guests, visitors staying on site for longer periods and the manual permit handling done by staff.
The focus was on electronic license plate registration, a real-time overview for staff and a clear user experience for guests. This sped up the design phase and helped build a solution that directly addressed INNOCUM’s day-to-day needs.
The fast implementation of the application was supported by an AI-assisted development approach. AI was used as a support tool in the development work, while Hurja’s experts remained responsible for the overall definition, quality, data security and functionality.
This made it possible to roll out the solution quickly without compromising the understanding of everyday needs or the clarity of the end result. The outcome was a lightweight, fit-for-purpose application that met INNOCUM’s concrete parking management needs.
For meeting guests, the parking application appears as a simple self-service view on a tablet in the meeting lobby. The guest enters their license plate number and parking duration, after which the parking permission is activated immediately.
In practice, this removes the need to print permits in advance, collect a paper permit from the meeting room or return to the car with a permit. Guests can take care of parking as soon as they arrive and then proceed to their meeting without hassle.
For staff, a separate browser-based view was created to show valid parking registrations in real time. If necessary, staff can also enter parking details on behalf of a guest.
Because license plate numbers are personal data, data protection was taken into account from the start. The application stores license plate numbers for only 30 days, after which the data is deleted automatically.
This means staff do not need to remember to clear the data manually, and the system does not accumulate unnecessary personal data. At the same time, the current day’s license plate numbers remain available when needed, for example for municipal parking enforcement.
The first version was implemented as a lightweight and clearly scoped solution. It covers the most important need: digital registration of guest parking without paper permits.
At the same time, the application was designed so that it can be developed further later on. In the future, the solution can be expanded with features such as advance bookings, access rights management or integrations with other systems, such as meeting room reservations.
Parking is now a smooth part of the INNOCUM service experience
The new parking application has made life easier for both meeting guests and INNOCUM staff. Paper parking permits are no longer needed, and guests no longer have to worry about collecting a permit slip or moving a parking disc in the middle of the day.
From the staff’s perspective, parking management is now clearer than before. When visitor details are recorded electronically, the manual work, questions and exceptional arrangements related to permits have been reduced. At the same time, more time is freed up for other customer service tasks and for keeping everyday operations at the business center running smoothly.
For guests, the change is most visible in the ease of arrival. Parking can be handled either in advance through a link included in the booking confirmation or on site using the tablet in the meeting lobby. Pre-registration has proven to be a popular option, as it makes arrival even smoother. Guests can move on to their meeting without unnecessary extra steps, and parking feels like a natural part of the INNOCUM service experience.
The lightly scoped solution serves the current need well while also providing a foundation for future development. If needed, the solution can be expanded with features such as advance bookings, access rights management or other functions that support everyday operations.
