Digital quality assurance in industry – less paper, more transparency

Quality assurance is one of the cornerstones of industry, but in many companies it remains a manual, fragmented and time-consuming process. Paper inspection forms, disjointed Excel spreadsheets and systems that do not communicate with one another cause delays, errors and extra work.

In the current regulatory and customer requirements environment, accuracy, speed and the reliability of documentation are more important than ever. Digitalization is a means of meeting these requirements and raising the standard of quality management.

In this blog post, we discuss the benefits that bespoke digital solutions bring to quality assurance and inspection processes in the manufacturing sector. We also showcase the Finspection App, which we developed for one of our clients to digitalize the inspection of pressure equipment and the qualification processes for welders and welding operators.

From traditional paper to a fully digital solution

In industrial companies, quality assurance processes are still partly managed manually, for example using paper inspection forms or standalone Excel spreadsheets. Digital systems are also increasingly in use, but these do not necessarily communicate with one another. Data is recorded in different locations, transferred manually from one system to another, or stored in a decentralized manner, which causes delays and increases the risk of errors.

In such cases, the benefits of digitalization remain limited. Processes do not become faster, even if the tools are digital. The solution does not always have to be building a completely new system; a viable approach may also be to combine existing systems into a functional whole through integration. Through integration, data flows automatically from one system to another, duplication of work is reduced, and the entire quality management chain becomes transparent and efficient.

Digital quality assurance streamlines processes, as data is saved directly to the application or transferred automatically between systems, making it immediately available, stored in a single location and easily shareable both internally and with customers. This enables an immediate response as soon as a deviation occurs or gaps in documentation are detected. Such proactivity is also a key part of maintenance processes, where real-time data can prevent production stoppages before they even occur.

  • Rapid identification and handling of anomalies
  • Preparing for audits and managing documentation
  • Analysis and reporting of quality deviations
  • Troubleshooting and preventing recurring problems
  • Continuous monitoring and improvement of quality using real-time data

Digital tools also support risk management and audits

The digitalization of quality assurance improves operational reliability, but also brings significant benefits for risk management. Up-to-date and centralised information helps to anticipate deviations and address them quickly. At the same time, it becomes easier to trace errors, and documentation is always readily available to auditors.

Preparing for audits is easier when documents aren’t scattered across different folders and on paper. When data is already in electronic form, it is easy to retrieve, and quality issues can be identified earlier – which saves time and money.

Digitalized quality assurance makes the following tasks in particular easier:

  • Rapid identification and handling of anomalies
  • Preparing for audits and managing documentation
  • Analysis and reporting of quality deviations
  • Troubleshooting and preventing recurring problems
  • Continuous monitoring and improvement of quality using real-time data

Case Finspection – an application developed entirely to meet the needs of the customer and the industry

Our client, Finspection, is a Finnish inspection body founded in 2022, whose aim from the outset has been to act as a pioneer and expert in pressure equipment safety – including in the field of digitalization. The company’s founders had extensive experience in the sector and a clear vision of what kind of digital tool would truly support their inspection activities. As off-the-shelf systems did not meet Finspection’s needs, it was decided to develop the application entirely from scratch in collaboration with Hurja.

The Finspection App, developed as a result of this collaboration, digitalizes, among other things, periodic inspections of pressure equipment, the qualification of welders and welding procedures, and other processes relating to compliance. The system brings all essential information together in one place and provides a clear overview of quality management – efficiently and transparently.

The application also includes a user interface for customers, where they can manage their qualifications and inspections, submit applications and receive electronically signed documents. The authenticity of certificates can be easily verified using a QR code. Furthermore, the system sends reminders about qualification renewals, which makes day-to-day operations easier for client companies and ensures that up-to-date information is available.

Results: efficiency, transparency and speed

The roll-out of the Finspection App has significantly streamlined inspection and qualification processes. The benefits are evident, for example, in the following:

  • Inspection and certification processes have become faster
  • The documentation is centralised and easy to manage
  • Customers receive their certificates of competence quickly and reliably
  • Staff working in the field can report directly from the site

“The Finspection App is a truly fast and fantastic tool, especially when it comes to welding qualifications. The qualification ranges defined in welding standards are built right into the app, and creating certificates and qualifications based on essential variables is incredibly easy, quick, and reliable. You can be completely confident in the accuracy of the qualification ranges on the certificates.”

Timo Ojanperä CEO, Finspection Oy

Real-time reporting means that, for example, welders’ certificates of competence can be issued as early as the next working day. If this does not happen, the customer will not be charged for the certificate at all. The app supports mobile working and is designed to function efficiently even in a construction site environment.

Artificial intelligence was utilized in the development of the Finspection App to support the programming process, for example during the roll-out in the production environment and in resolving issues. In the next stages of development, the aim is to utilize artificial intelligence in document recognition as well, enabling the digitalization of data to be automated with greater accuracy and speed.

Tailored digital solutions can be scaled to suit different sectors and needs

The Finspection App has been designed for the inspection of pressure equipment, but the solutions are not limited to a single sector. Similar systems benefit, for example, companies providing maintenance services, industrial subcontractors and manufacturing plants where quality requirements are monitored, processes are documented or competence records are maintained.

At Hurja, we deliver digital solutions that are always built around our clients’ business and their real-life needs. We develop exactly what is needed. These solutions can be entirely new applications or integrations that combine existing tools into a functional whole.

Artificial intelligence brings speed, accuracy and predictability to quality management

Artificial intelligence will soon be part of everyday life for an increasing number of companies, as an integral part of their digital systems. For example, it can help to identify anomalies, anticipate risks and streamline decision-making in situations where speed and accuracy are critical.

Advanced language models, such as GPT-4, enable systems to search for and analyze information intelligently. When artificial intelligence is combined with, for example, audit or inspection data, it can highlight key findings, suggest actions and draw on previous similar cases directly from the system. Using Retrieval-Augmented Generation (RAG) technology, AI draws directly on a company’s own documentation to provide accurate, context-specific recommendations.

Artificial intelligence can, for example:

  • Identifies quality deviations from real-time data
  • Helps to allocate resources to the right place at the right time
  • Speeds up document retrieval and decision-making by integrating data from different systems

Integrating artificial intelligence into quality assurance does not provide a ready-made solution to all problems, but it brings clear benefits to those processes where speed, predictability and data management are crucial.

Do you want to get rid of repetitive work or Excel jungles?

Digital quality assurance helps your business operate more efficiently, meet growing customer demands and fulfill regulatory obligations without creating an additional administrative burden. At the same time, it delivers a competitive advantage: faster information flow, fewer errors and greater transparency are directly reflected in the customer experience and business performance.

Opportunities for efficiency improvements can often be found in unexpected places; for example, maintenance and quality control data can be integrated into a single system, thereby improving the overall picture and speeding up decision-making. This is possible when the system is designed to support mobile working, integrations and analytics that utilize artificial intelligence.
